Minutes of the Meeting of January 21, 2019

1.Welcome & Introductions

Sandra Townsend called the meeting group to order at 7:05 pm and welcomed all present.

 

2.Review & Approval of Agenda

Sandra motioned for approval of the minutes of the meeting held November 26, 2018. Motion approved by all.

 

3.Administrators’ Report

Principal Sean Harrington reported as follows:

-      Icebreaker Run, about 30 kids participated. Special thanks to Ms. Maika!

-      New photo provider – Mountain West – Family photos bookings are now also available.

-       Emergency preparedness will be receiving $350,000 funding District Principal – Mike Charlton – metal case/supplies/training – possible guest on Feb 11th.

-      Grade 7 transition with High Schools is underway.

-      Basketball season is now underway with practices at lunchtime.

-       Thursday, January 24th - 12:20 dismissal and student led parent/student/teacher meetings.

-      MDI (MIDDLE developmental Index) grade 4 and 7’s. 

-      Friday, January 25th – Richmond Sockeye’s assembly and prep for Rocks and Rings.

-       Monday, January 28th – Pro-D day. (Dealing with Anxiety – Leaf clinic and Matrix rebuild).

-      January 29-31 Rocks and Rings.

-      Friday, Feb. 1st – 6/7 French program leaves for Quebec Feb 8th, to return Thursday February 14th.

-      10 DAYS of kindness – kick off with Michael Bortolotto.

-      Friday February 15th – Distict PRO-D day.

-       Monday, February 18th – FAMILY day.

-      Teacher classroom resources wish-list items reviewed.

 

4.Treasurer’s Report

Laura Gillanders provided a detailed report, and supporting financial statements and related records for the period of Sep 1 - Dec 31, 2018. 

Details include:

  • Total profit for the craft fair was $4,538.57 
  • Total fundraising so far for the year $9,235.77 
  • Balance in the operating account Dec 31 $27,551.88 
  • Balance in the gaming account Dec 31 $9,561.28 
  • Total Funds in the bank $37,533.41 
  • Amount remaining to spend from voted spending/budget $14,884.79 

There are four outstanding items needed to be taken care of before Jan 31: 

-      Deposit to the gaming account from the operating account as you can see on the bank reconciliation for gaming - outstanding deposits of $793.00.

-      Year end charity return filing for Aug 31, 2018 due Jan 31.

-      Meet at bank with another signer to activate my online banking card before it expires and I have to order a new one. 

-      Small bag of popcorn money to be deposited

 

Motion:by Sandra Townsend, seconded by Karen Fisher-Hagel, to allocate $5,000 of gaming funds towards the development of an outdoor learning space at Dixon. Motion approved.

Motion: put forward by Sandra Townsend to allocate $650 ($150 from the speaker’s budget in our operational budget, and $500 from gaming) to cover the school’s cost to bring in speaker Michael Bortolotto. Seconded by Lisa Fisher. Motion approved.

Motion:by Karen Fisher-Hagel, seconded by Sandra Townsend, to allocate $1,000 from our operating budget surplus to a donation to feed-u-cate. Motion approved.

Motion: by Lyn Young, seconded by Lisa Fisher, to allocate the $2,500 of our teachers’ wish list budget line item, and $500 from gaming, to fund the remaining teachers’ wish list items, as follows:

  • Kindergarten pinnies - $600
  • Track team singlets - $1,000
  • Ipad covers - $400
  • Microphones and A/V equipment - $1,000

Motion approved.

 

5.Fundraising Update

Food days and pizza days for the rest of the year have been set, and families are ordering through Munch a lunch. 

Tentatively planning for a movie night on Friday Feb. 22.

Richmond District PA has gone ahead with arranging district-wide licensing for PACs to hold movie nights, which should reduce our licensing costs.

 

6.Other Business

Lisa Fisher has gathered information regarding arranging a group session for Dixon students in grades 6 or 7 for the St. John’s Ambulance Babysitting Basics course. Waiting for St. John’s to confirm possible dates in early March. Once confirmed, will provide information about the program that Principal Harrington can send to families of grade 6 and 7 students. Program cost is $49 per student. L. Fisher motioned that the PAC fund half of the cost per student. Seconded by S. Townsend. Motion Approved. Registration will be by email to the PAC email address (L. Fisher will manage). Payment of parent portion will be by e-transfer.

PAC is still interested in arranging for a screening of the documentary Screenagers, possibly in May. Lyn Young and Karen Fisher-Hagel will look in to options, including possibly inviting another school to share costs.

 

Motion to Adjourn Meeting:

MOVED, SECONDED and CARRIED that meeting be adjourned at 8:05 p.m.
