November 16, 2020 PAC Meeting Minutes

1. Welcome
Jennifer McMillan called the meeting group to order at 7:03pm and welcomed all present.
2. Introductions
All present introduced themselves.
3. Review and Approval of Agenda
The Agenda was APPROVED by L’nielle, SECONDED by Billie, and CARRIED by all.
4. Review and Approval of Minutes of Last Meeting
The Minutes of the last meeting held on October 19, 2020, were APPROVED by Lyn, SECONDED by Jenna Newman, and CARRIED by all.
5. Administrator’s Report
- COVID 19 safety plan implementation as per Provincial Health Officer Dr. Bonnie Henry ongoing. Safety protocols are in place. Students organized in cohorts and have staggered lunches and field/ playground space.
- The Remembrance Day ceremony went well.
- Photo day completed.
- November 23, 2020 Professional Development day.
- December 16, 2020 virtual assembly Earth Rangers event.
- Student council are planning special events to take place in December.
- Email to be sent to families reminding everyone that children should not be playing together after school in the playground.
6. PAC Chair’s Report
- Of the approximately 172 accounts, there have been responses from approximately 140 accounts with regards to requesting either a refund or making a donation. Approximately $3,300.00 has been donated to the school - PAC wishes to thank the Dixon community for their amazing generosity!
7. Fundraising Committee’s Report
- November 20, 2020 will be the last day for the Mom’s Pantry and DFS fundraisers. So far, there has been approximately $3,500.00 in orders.
- Next fundraising campaign is Herbal Glo.
- Dixon is pursuing an outdoor covered classroom space, which will be funded through grants and PAC fundraisers.
- Fundraising through Flip-give being considered as a fundraising initiative.
- Personalized bricks being considered as a fundraising initiative.
8. Treasurer’s Report
- Presentation of the PAC 2020/2021 budget
On average, Dixon has 325 students per year.
Line items were reviewed, with special notes of the following items;
- Outdoor tents, 3-4 in total, total cost of $1,000.00 from the Gaming Fund
- Dance Program (Fine Arts Fund), total cost of $2,000.00, from Gaming Fund
- Math and Science Manipulatives, total cost $5,000.00 from General Fund. One set of Manipulatives per cohort, 8 sets in total at a cost of $625.00 each. PAC noted that we are unable to use Gaming Funds for this education resource.
- Outdoor learning classroom, partial cost of $5,000.00, PAC will allocate funds depending on grant approval and we should know status of grant approval in early 2021.
- iPads, total cost $15,000.00. All elementary schools are set up to use Apple products. Our current iPads are 8 years old. It was agreed that we would make due with current iPads for now, and review timeframe for replacement.
Gaming Account:
- $5,000.00 already allowed to the Friendship Garden.
- Opening balance: $1,229.84.
- Grant Received; $6,460.00
- Sports equipment is always needed, and will be decided upon at a later time as expenses come up.
- $4,600.00 projected spending this year, plus sports equipment as needed.
General Fund Account:
- Opening balance: $19,275.50
- Approximately $3,300.00 in donations from Munch a Lunch accounts.
- Courses (including babysitting and Selena Noon) are not planned for this year, due to COVID 19.
- Feeducate donation. $0.00 allotted this year. PAC will consider alternate fundraising specifically for Feeducate.
- Student Support Fund: to help support and pay for supplies for kids in financial need. This was in the PAC budget in years past and especially important in light of the economic impacts of the COVID 19 pandemic.
- Approximate Funds Available: $26,635.00
- Finalize PAC 2020/2021 budget (with membership vote)
The motion to approve the 2020/2021 budget was APPROVED by Billie, SECONDED by L’nielle, and CARRIED by all.
10. Additional Items
- We are awaiting additional information regarding Dixon spirit wear. Historically, orders have been made in November/ December with pick-up in early January.
