PAC Meeting Minutes of May 17, 2021

 

Dixon Parents Advisory Committee

Location: Zoom meeting due to COVID-19 pandemic related restrictions on social gatherings

1. Welcome

 

Jennifer McMillan called the meeting group to order at 7:03pm and welcomed all present. 

 

2. Introductions

 

All present introduced themselves. 

 

3. Review and Approval of Agenda

 

The Agenda was APPROVED by Teg, SECONDED by Michelle, and CARRIED by all. 

 

4. Review and Approval of Minutes of Last Meeting

 

The Minutes of the last meeting, were APPROVED by Lyn, SECONDED by Jenn, and CARRIED by all.  

 

5.  Administrator’s Report

 

  • Covid-friendly Track and Field started April 26, 2021 and is ongoing for grades 2-7.  There will be a Performance Day with ribbons for kids for track and field performance.  

 

  • Constable Eric Chan will be coming to Dixon during week of May 17, 2021 to provide presentation to students on toxic social media.  On May 27, 2021, Constable Chan will also be providing a presentation to parents and an email with additional information will be sent to parents.  

 

  • Planning is underway for a COVID 19 friendly Dixon Week (instead of Dragon Day).  A reminder that gathering of parents not permitted under current COVID restrictions.  

 

  • Planning and preparation ongoing for Grade 7 graduation and virtual ceremony on last day of school.  

 

  • School is able to replace 30 iPads with a new Innovation Grant, which means that no financial assistance is required from PAC. 

 

  • 9 new garden planter boxes are in place with financial assistance from PAC. 

 

  • Welcome to Ms. Sandhu to replace Ms. Story’s maternity leave (french immersion kindergarten teacher)

 

  • “Welcome to Kindergarten” drive-by will be held on May 19, 2021.  Dixon will be welcoming 50 new students into kindergarten in the 2021/20222 school year.  

 

 

6. PAC Chair’s Report

 

    a. Annual General Meeting

        i. PAC Executive Positions

            The current PAC Executive members have volunteered to continue in their positions fro the 2021/2022 school year.  No election/ voting required. 

 

         ii. PAC Committee Chair Positions

            PAC looking for volunteers for the PAC Committee Chair positions including Fundraising Committee and Hot Meals Committee.  

 

    b. Teacher Appreciation

  •             Discussed a teacher appreciation event.  Prior to the COVID 19 pandemic, the school hosted a pot-luck lunch for staff.  Due to COVID 19 restrictions, a pot-luck is not possible.  Jenn presented a MOTION to spend $800.00 on staff appreciation, the motion was approved by LJ and SECONDED by Diana and CARRIED by all.

 

  • Given that funding has been received through a grant for the replacement of the iPads.  PAC to focus on funding for an outdoor covered learning space.  PAC will investigate whether gaming grant can cover all or a portion of the project. 

 

  • It has been confirmed that there will be no reduction in the Gaming Grant for the 2021/ 2022 school year.

 

7.  Treasurer’s Report

i. Gaming account – Main changes from April:

    a. Outdoor learning space, Sean provided invoices for planters for a total of $3750. This meets gaming grant criteria for “beautifying spaces.”

    b. Also moving BC PAC membership expense of $75, as approved from last month’s meeting.

    c. Current reconciled bank balance $7,951

 

ii. General Fund account – No major changes

    a. Deposits received from E-transfer for the planters - $145

    b. Deposit received from Mr. Coopers’ pies $580

    c. Outstanding Munchalunch refunds is down to $1,063. A reminder to parents to  deposit the checks that have been sent.

    d. Teacher reimbursements – wrote checks out for a total of $3189.

    e. Current bank balance $24,559.

    f. Current unallocated funds - we have $11,000 unallocated funds in the operating account, so this is more than enough to cover the teacher appreciation costs (see above).

 

iii. Grant funds – we have $3,000 unallocated cash remaining from grant received in 2020. Billie noted that grant funds have be used within 36 months or 3 years from date of receipt.  Options for use include field trips during the 2021/2022 school year.   This will need to be vote on as part of next year’s budget.

 

8. Fundraising Committee’s Report

  • Dixon Craft Fair Resource Binder to be completed and a copy provided to Jenn.  The binder will contain necessary information for the planning and organization of the Craft Fair for future parents/ PAC.  The is the primary fundraising event at Dixon.  
  • Finished the Tacos to you Dine-to-Donate event (awaiting fundraising amount), Planters ($800.00 profit), and Pies ($580.00 profit).  
  • Lyn noted that flyers with information about the Pies fundraising event were handed out in the Dixon neighbourhood and several seniors placed an order and were very happy to support the school.   
  • Current fundraiser:  Dine-to-Donate with WinWin Chicken, with 15% of proceeds going back to Dixon. 
  • Final fundraisers for the 2020/2021 school year are coffee and donuts.  Information will be emailed to parents.  
  • Ongoing affiliations include FlipGive and Oliver’s Labels and Herbal Glo.  Herbal Glo has an affiliate link for Dixon and will provide 20% discount, and 20% of proceeds to Dixon PAC.  Dixon PAC has ongoing accounts with the companies so parents/ families can order any time.  
  • A huge thank you to everyone who participated in our fundraising initiatives.  The Fundraising Committee is always looking for new ideas and volunteers for year long fundraising initiatives.
